  • Overview

    The Project Coordinator will provide in-depth analyses of the Moser Center's current technology needs, develop and maintain quality improvement programs, and ensure all system related data remains up to date and compliant. The incumbent will work with the Director, Outpatient Medical Operations on creating and innovating new processes to help streamline and modernize workflow. This position will collaborate with Research Coordinators to organize and coordinate optimization of clinic and research productivity in the Moser Center for Leukodystrophies.

    Responsibilities

    1. Conduct reporting, recommend changes, and implement approved changes for department processes, work flow, record keeping, and areas of deficiency.

    2. Work directly with clinicians and support staff to grow the patient population served and improve the efficiency of clinic operations.

    3. Inform necessary clinic staff of assignments, scheduling changes and matters relating to efficient operations.

    4. Collect and organize data for reports and surveys.

    5. Organize and attend Leukodystrophy Case Conferences. Create and distribute meeting minutes and follow up on directed topics between meetings. Attend conferences as requested by the clinic director. Coordinate meetings, as needed, for individual team members as well as the whole multidisciplinary Moser Center team.

    6. Help complete patient intakes, demographics and insurance updates, scheduling, and acts as liaison between Intake, the Clinical Care Center, Patient Access, Outpatient Nursing, medical staff, and families to resolve problems with scheduling, billing, and clarification as to appropriate clinic assignment.

    7. Coordinate flow of clinic, on-site, during clinic to ensure providers communicate between appointments and begin/exit their appointments in a timely manner. Provide clinic resources to patients as appropriate (clinic handouts and folders, etc.).

    8. Coordinate patient care, housing (when applicable), monitor and coordinate patient scheduling, answers patient phone calls. Manages order, prescription, referral, and prior authorization requests for Moser Center patients.

    9. Complete applicable documentation when lab/MRI results are obtained to ensure that nurses and providers have appropriate information.

    10. Provide backup coverage for Research Coordinators as needed.

    11. Maintain Moser Center for Leukodystrophies page on Kennedy Krieger Institute's website. Update and revise individual pages within the website to ensure the most up to date information is available for patients and providers.

    12. Process staff and trainee financial reimbursements in Kennedy Krieger Institute Workspace.

    13. Procure program supplies and software at the request of Clinic Director and Project Manager.

    14. Develop and maintain comprehensive policies and procedures for the responsibilities of the position in collaboration with the Project Manager.

    Qualifications

    Qualifications

    Institutional Review Board (IRB)-trained preferred.

    Education

    Bachelor's degree required. Additional relevant experience, particularly in clinical, healthcare, or research coordination, above the minimum requirement may be substituted for the education requirement at the discretion of the Director, Outpatient Medical Operations.

    Experience

    • Minimum 5 years of related experience required.

    • Experience with healthcare coordination preferred.

    • Experience with clinical research preferred.
